Privacy Policy

Cairngorm Vets provide veterinary goods and services to our clients in Strathspey and Speyside.  We are committed to your privacy and your data will be handled fairly and legally at all times.

This policy sets out the basis on which any personal data we collect will be processed by us.  Please read it carefully to understand your rights regarding your personal data.  By reading this you are accepting and consenting to the practices described in this policy.

The data controller is Cairngorm Vets Ltd.  Our data protection lead is our Practice Manager.

As a client of Cairngorm Vets you have your animals registered with us.  In order to provide emergency and preventative veterinary services to you through an implied contract, we need to keep and use your personal information.  We are legally obliged to obtain, keep and process information about our clients in order to fulfil our duty as Veterinary Surgeons.  We need to be able to use the information we hold to contact our clients about matters relevant to their animals.

Information you provide when filling out a manual or digital form, talking to us on the telephone, via email or through other means.  Examples of the information we may need to store or process include names, addresses, phone numbers and email addresses, sometimes financial information, and clinical records about your animals.

• To register you and your animals on our system
• To allow us to keep internal records and for clinical governance and quality improvement
• To communicate with you about your animal’s health
• To record health and treatment records about your animal, and to charge fees for services and goods provided
• As a legal requirement to keep records on prescribing of medicines
• To communicate with you for administrative, service or marketing purposes

We do not routinely share your information with other parties with the exception of other businesses whose services we use to fulfil our implied contract with you, examples of which include: laboratories, microchip databases, and insurance companies.  

If you wish us to send your records to another veterinary practice, your permission will be required before data can be shared with them. We will securely retain your records for clinical audit and our legal requirements only.

We keep information for a maximum of 7 years after the end of our relationship with you, unless we require the data in relation to a claim, or for legal reasons.

We respect your privacy and keeping your information secure is important to us.  All electronic information entered into our practice management software is encrypted.  All archived paperwork is secure, with access restricted to authorised persons only.
